Set up a group: create a group, invite others to join your group, and accept members. If there are pending member applications, a list will appear on the "Overview" tab, on which you have options to accept or reject applications.

(Optional) Set up InvMan system: The system setup can only be performed by Group Managers. If not set, the system will adopt "Popular Mode" by default.

(Optional) Add InvMan control persons: If not set, the group manager (who created the group) will take in charge of everything.

(Optional) Add Vendors and Products for the group.

Monitor the system and take actions when necessary: such as approving orders, reviewing low quantity items, ...

By default, the system is set in "Popular Mode". However, Group Managers can use InvMan System Setup Tool to change the system to any of following modes:
- Basic Mode: Request - Receive, with no controlled procedures at all. This is for groups with few members and no necessary to control the inventory procedures.
- Popular Mode: Request - Approve - Receive, with controls at approval and receiving steps. By default, the system is set in this mode.
- Advanced Mode: Request - Confirm - Approve - Purchase - Receive, with maximal controls at all steps. This is suggested for organizations with multiple departments/groups and desire to have strict controls on ordering procedures.
- Custom Mode: Administrators can select steps that need to be controlled and leave the rest steps open.

BxAF InvMan Default Mode: By default, the system adopts "Popular Mode", that means, group manager has control at the Approval step. Therefore, after group members have submitted their purchase requests, group manager needs to approve the requests before group members can check off the received items.
Notice that, in Popular Mode, group manager has no other controls over the system. Therefore, you and your group member should cooperate in entering or editing data such as vendor or product information. |

BxAF InvMan Advanced Mode: Group manager has controls on every step. In this mode, group manager will be responsible to add product, vendor, and supplier information for the group. All purchase requests have to be confirmed, approved, and purchased before group members can check off received items.
To save effort and time, group manager can assign some control roles to group members, including request confirmation, approval, and item purchasing. |
